TCIL – WORK FLOW SYSTEM

 

TCIL, Kuwait has examined the actual work flow and business forms   proposes the solution. The solution will resolve four critical issues:

·                     Customer Management

·                     Work Flow / Business Forms

·                     Business Intelligence

·                     Networking Security

 

Customer Management

The product will incorporate data storage for customer listing with the ability to add, modify, change, and delete customers from the list. This central repository of customer information can contain as detailed information about customers as possible, and is used to eliminate redundant data entry in the work flow. As an example, customer address and phone numbers will only have to be entered once into the system. Search capabilities will allow the staff to search for specific customers according to various criteria such as customer company name, person's name, phone number or the address.

 

Work Flow

There are a number of business forms involved in day-to-day activities of the various departments  . These forms must be able to share as much information as possible to the other business forms in the process. The existing hardcopy forms will be as closely duplicated on the data entry screen as possible. By doing so, the data entry process is simplified for   staff who are familiar with the existing forms. Form navigation will allow   staff to easily locate the correct form in the database. Features such as adding, deleting, changing business data on the forms will allow easy update of the database.

 

Business Intelligence

The primary benefit of having business information stored on information systems is the ability to generate business statistics. The product will be able to generate various queries with the help of powerful SQL Query Builder available with the Software like "sales leads to sales" ratio, sales staff performance, query for loss sales during a period, commercial invoices, billing information, monthly collections and many other types of business statistics. It is important to disclose to TCIL the full set of business statistics that are required   so that future implementation of additional queries are easier (and less costly) to develop.

 

Networking Security

It is crucial to control the type of information that staff can access and manipulate. For instance, business intelligence queries are most likely to be generated by management. Control must be in place so that sales staffs have limited control if not none to overall business information. Another area of consideration is controlling data entry so that one user/department cannot alter the records of another user/department. Without proper account and password, illegal user will not be able to access.

 

SOFTWARE SYSTEM

TCIL-WFS Software is a system which works on Windows NT platform with Oracle database and Developer/2000. It is a complete solution for Office-automation, a “Millennium Paperless Office Management System”.

 

TCIL-WFS are Horizontal Application Programs designed to provide assistance in routine office jobs such as:

1. Scheduling individuals and group activities.

2.  Assisting in communication among individual and groups.

3. Creating and maintaining records concerning individuals and groups.

4. Managing various “short terms” or “long term” projects.

5. A routine office accounting activities.

6. A routine activity of servicing customer needs – either handling new customer or servicing existing customer.

7. Routine Sales and Marketing on-line monitoring.

8. Routine approvals from various authorities (within the company).

9. It will leave to significant reduction in paper handling – “Paperless Office”.

 

Whenever any message or an information is transmitted from one user to another user, information about arrival of the message flashes on the end‑user terminal irrespective of the location of the user depending upon the position where the user log on. [TCIL-WFS should be running at the node].

 

Also, the level of data integrity is high so that unauthorized users can not access the data. It keeps track of all the message/document flowing in history and could be traced back at user request.

Automated Document Handling

... refers to converting paper documents to electronic form and storing them in a database.

 

Document Imaging Systems convert incoming paper documents into electronic format

 

Two possible methods:

1. Documents are simply scanned and converted into bit-mapped images.
The data in such captured images cannot be directly processed as business data by a computer.

2. Optical-Character Recognition [OCR] converts the document into a machine-readable record format. This method is often more useful in workflow automation because:

§                     a document can be edited and its data immediately used as input into workflow processes or for supporting management decision.

§                     may require less storage space because character codes such as ASCII take less storage space than do graphic images of the characters

 

Automated Mail and FAX Handling

……….it refers to converting incoming FAX and emails to appropriate locations (in directory) from where the TCIL-WFS will search when program is running in the background. TCIL recommends the following for efficient mail / FAX handling.

·                    FAXserve 5.0 for Windows NT 4.0

·                    Microsoft Exchange Server 5.5

 

Dial-up Access to Send / Retrieve Email

Mechanism must exist for   staff to send and retrieve electronic mail from remote locations. For this special dial-up Modem cards run on suitable RAS software like Radius is required. There are two models to implement dial-up access for the staff to send / retrieve messages from a remote location.

First model is to take advantage of the RAS (Remote Access Service) feature of Windows NT Server. A number of modems and phone lines can be setup so that the staff can dial in and make connection to the   local area network as if they are in the office. This setup requires the   office to have phone lines made available for the exclusive purpose of dial-up access and the purchase of additional equipment such as a peripheral that allows more than 4 COM ports to be installed on one machine.

 

The second model is to have the staff send / retrieve email from a remote location using a web browser such as Internet Explorer or Netscape Navigator.

 

Microsoft Exchange Client will be the single universal client installed on all desktops in order to access email.

If you like, we can even send an instructor to your company for on-site training. We also offer tailor training modules to suite your requirements (not restricted to TCIL-WFS system).

 

FUTURE CONSIDERATIONS

TCIL, Kuwait plans to use Oracle 8 with Developer to develop the core of the application. Having the core application developed using Oracle allows rapid application development and greater flexibility to extend the software in the future.  

 

TCIL, Kuwait can also design, implement, and host commerce web sites on the Internet. We also offer solution for LAN/WAN connectivity over Frame Relay, Multimedia Communication Systems (VOIP) over inter/intra network.
